**Job Title: Bookkeeping and Administrative Support Specialist**

**Key Responsibilities:**
**Bookkeeping Duties:**
- Sort and distribute program mail daily, ensuring invoices are routed for payment and appropriately handled.
- Communicate with vendors and maintain an updated vendor list in QuickBooks/SAGE.
- Manage client accounts in QuickBooks, including preparing and issuing payments and processing client deposits in line with program policies.
- Liaise with bank representatives and manage client accounts through online portals, including setting up new accounts, closing accounts, and performing daily allocations.
- Oversee third-party trust relationships by recording transactions and preparing deposits and payment requests in QuickBooks.
- Prepare direct deposit requests for client income and manage ACH payments for client invoices as needed.
- Organize and mail client payments to vendors, ensuring electronic filing of paid invoices.
- Lead the transition of the program's bookkeeping functions to SAGE, collaborating with vendor representatives and generating necessary reports.
- Coordinate program deposits with the Finance Department and maintain accurate records.
- Manage the program credit card log, reconciling it with monthly statements and ensuring all reimbursements are recorded.
**Administrative Duties:**
- Type court reports and case correspondence as requested.
- Sort and distribute daily mail to the appropriate personnel.
- Participate in agency and staff development meetings as required.
- Attend additional training sessions as determined by annual evaluations.
**Qualifications:**
- A degree in accounting or a related field, or extensive experience in bookkeeping.
- At least one year of bookkeeping experience.
- Compliance with Florida Administrative Rule 58-M2, including background checks and credit reporting.
- Proficiency in QuickBooks, with working knowledge of Word, Excel, and SAGE.
- Strong verbal and written communication skills.
- Ability to adapt to changes in the work environment and manage competing demands.
- Capable of working independently and maintaining confidentiality of sensitive information.
- Proficient in Microsoft Office Suite, especially Word, Outlook, and Excel.
- Professional telephone manners and interpersonal skills.
- Ability to collaborate effectively with colleagues, agency representatives, and the public.
- Strong multitasking abilities and sound judgment.
- Knowledge of and support for Catholic Church teachings.
- Valid Florida Driver's License with an excellent driving record and access to a vehicle.
**Physical Requirements:**
- Flexibility to work extended hours as needed.
- Ability to work collaboratively with others and independently.
- Willingness to travel throughout the Diocese of Palm Beach for job-related duties.
- Ability to respond to emergency situations as they arise.
- Occasional light lifting (up to 15 pounds) and moderate lifting (15-44 pounds).
- Frequent use of hands for typing and extended periods of sitting.
- Occasional standing, kneeling, bending, and climbing.
- Ability to hear routine conversations and respond appropriately.
